Administrative and Animal Record Assistant
Fauna Conservation Department
Major responsibilities
This is an individual contributor role. The incumbent will report to the Wildlife Rehabilitation Officer.
- Keeping digital and physical animal records.

- Opening new case records for newly arrived animals in ZIMS(Zoological Information Management system).
- Inputting husbandry, body weights, and medical records for animals in rehabilitation in ZIMS.
- Updating enclosure changes for animals in rehabilitation in ZIMS.
- Closing case records for released or dead animals in ZIMS.
- Filling in carcass logs for deceased animals.
- Obtaining DNA samples from deceased animals.
- Scanning old paper-form animal records into the server.
- Cross-checking, at least once a month, enclosure animal counts, carcass logs, and ZIMS records, to verify numbers in Transaction Reports.
- Cross-checking, when needed, content of carcass freezers, carcass logs, and ZIMS records, to verify carcass list for AFCD collection.
- Any other animal record-related duties as requested by Section Officers.
- Maintaining, constructing, and reporting on rehabilitation and related datasets.

- Maintaining a dataset of non-adult birds received in spring and summer each year, inputting new cases as they arrive. Drafting annual report of survival data of these birds and reporting to Section Officers.
- Maintaining a dataset of impact trauma bird cases, inputting new cases as they arrive.
- Maintaining a dataset of birds with HKBWS rings, inputting new cases as they arrive.
- Constructing and reporting on any other datasets as requested by Section Officers.
- Contributing to public education about the work of Wild Animal Rescue Centre.

- Maintaining a photo library of note-worthy rehabilitation cases on the server.
- Answering public enquiries about rehabilitation cases after training is completed.
- Providing support for WRR’s general administrative duties.

- Booking cars, meeting rooms, computers, etc., on requests made by Section Officers.
- Sourcing tools and equipment, etc., to be placed on the bi-weekly purchase list.
- Conducting regular stock taking for WRR
- Faxing Small Work and Repair Request Forms to the Facility Department.
- Checking the daily attendance of the WRR team
- Making sure WRR staff perform the clock in/ out and leave application accurately.
- Other administrative duties as requested by Section Officers.
- Providing support for Fauna department’s AO.

- Coordinating regular purchase and delivery.
- Answering the public’s rescue call and making record accordingly.
- Processing purchase list as requested by department AO.
- Keeping track of the dry feed store.
- Providing a delivery service if driving is available.
Job Requirements
- At least 1-year relevant working experience, in record management, data analyses, and/or report writing.
- Diploma in statistics, biological sciences, social sciences, or equivalent will be an advantage.
- Must be bilingual in both written and spoken Cantonese and English, Mandarin will be an advantage.
- Familiar with basic office software, knowledge in data analysis software will be an advantage.
- Willing to work on weekends and public holidays.
- Class I or II driving licenses are advantaged.
- Able to work independently and work in a team.
- Good communication and interpersonal skills.
- Honest, responsible, and friendly.
- Demonstrated enthusiasm regarding wildlife conservation issues.
- Commitment to the mission, vision, and values of KFBG.
